But, when it comes to choosing the right solution, businesses are often faced with a critical decision: should they invest in an all-in-one enterprise suite or opt for a more modular approach with best-of-breed applications?

For many organizations, this decision will likely mean opting for a comprehensive, all-in-one suite like SAP Ariba, or building a customized solution by selecting the "best-of-breed" applications for each specific need.  

Based on our experience, we know that this is not a choice to be made lightly, as it can significantly impact integration, maintenance, cost and overall business process complexity. In this blog, we’ve outlined the pros and cons of each approach to help you arrive at the right strategy for your organization.

Procurement technology:  Understanding your options

In the world of procurement technology, two distinct paths emerge:

  • The Enterprise Suite (e.g., SAP Ariba): A comprehensive, all-in-one solution covering most procurement needs within a single platform
  • Best-of-Breed: A curated selection of specialized applications, each excelling in a specific procurement function

Let's break down the key differences to help you decide.

SAP Ariba: The Enterprise Powerhouse

Enterprise procurement suites offer a comprehensive set of tools and functionalities within a single platform. These solutions typically cover everything from sourcing and contract management to supplier relationship management and spend analytics.

A good example is SAP Ariba, which offers a suite of integrated modules that cover everything from sourcing and contract management to supplier management and invoicing.

Pros:

  • Seamless integration: A major strength of SAP Ariba is its integrated nature. Modules are designed to work together seamlessly, reducing data silos and streamlining processes.
  • Unified user experience: A single platform means a consistent user interface and experience across all procurement activities. This makes change management and supplier enablement much easier and faster, as your users don't have to learn to use multiple systems. 
  • Vendor support: SAP's extensive support network ensures help is readily available when issues arise.

Cons:

  • Cost: SAP Ariba can be more expensive than many best-of-breed solutions, both in terms of licensing fees and implementation costs.
  • Limited flexibility: While powerful, the suite may not offer the same depth of functionality as specialized best-of-breed tools.
  • Customization challenges: Tailoring the system to unique business needs can be complex and time-consuming.

Best-of-breed: The flexibility champions

Best-of-breed procurement solutions involve selecting specialized applications for each stage of the procurement process (e.g., one tool for sourcing, another for contract management, etc.)

Pros:

  • Specialized functionality: Best-of-breed tools often offer deeper features and more advanced capabilities within their niches.
  • Adaptability: You can choose the exact tools that fit your company's specific needs and processes.
  • Potential cost savings: Depending on your chosen tools, this approach can be more cost-effective than an enterprise suite.

Cons:

  • Integration headaches: Integration will be a challenge. You'll need to ensure that data flows between different applications without errors. This often requires middleware or custom integration work. Integrating disparate systems can be a major challenge, leading to data inconsistencies and process breakdowns and limitations.
  • Maintenance overhead: Managing multiple vendors and systems can be complex and time-consuming.
  • Disparate user experiences: Users may need to learn to switch between different interfaces.

Which approach is right for you?

The decision between SAP Ariba and a best-of-breed approach ultimately depends on your organization's specific needs and priorities:

  • Company size and complexity: Larger, more complex organizations might find the integrated nature of SAP Ariba beneficial. Smaller businesses with simpler needs may prefer the flexibility of best-of-breed.

The best approach isn't a one-size-fits-all answer. When formulating your strategy, it pays to consider these factors:

  • Organizational maturity: If your procurement processes are well-defined and standardized, SAP Ariba might be a good fit. If you have unique workflows or need highly specialized tools, then best-of-breed might offer more flexibility.
  • Budget: SAP Ariba can be a significant investment. Best-of-breed can seem more affordable initially, but factor in long-term integration and subscription costs.
  • IT resources: Do you have the inhouse expertise to manage multiple applications and integrations? If not, SAP Ariba's single-vendor approach might be easier to handle.

Hybrid approach: The best of both worlds?

Some organizations opt for a hybrid approach, combining core modules from SAP Ariba with specialized best-of-breed tools where needed. This can provide a good balance between integration and flexibility.

For example, we see many organizations finding success with this approach. They might use SAP Ariba for core procurement functions (e.g., sourcing, contract management) and complement it with best-of-breed applications for specialized needs (e.g., spend analytics, supplier risk management).

We find that SAP Ariba will generally cover 80% to 90% of what most organizations need; however, best-of-breed applications might cover the missing 10% to 20%.  Your organization will need to determine if it is worth spending additional funds (sometimes millions) to only gain maybe 10% to 20% of additional features.
